2Life owns and operates over 1,300 units of affordable rental housing located within six campuses in metropolitan Boston. With another 210 apartments under construction and more in planning, we expect to add another 600-700 units within the next several years as we complete projects in active planning and construction phases. We continue to pursue other development opportunities. We anticipate continued growth in the size of our portfolio, the geography in which we operate, and the diversity of our residents in terms of race, ethnicity, income levels, and need for supportive services. 

GENERAL SUMMARY

The Maintenance Mechanic/Maintenance Admin Coordinator is responsible for both the general maintenance of our properties as well as administrative duties related to maintenance department. Maintenance Mechanic responsibilities include but are not limited to light carpentry, electrical, and plumbing that do not require a license, patching, painting, minor appliance repair, grounds work, snow removal, unit inspections, room setups for events, assisting with floor care, rubbish disposal & removal, and other heavy cleaning duties as needed. Administrative responsibilities include inventory control for tools, equipment and supplies, purchasing as directed, invoice processing, Travel Bank and maintaining orderly online and physical files, as well as drafting notices to residents for upcoming maintenance work in the building. This hybrid position will spend approximately 70% of the time on maintenance work and 30% on administrative work.

 

ESSENTIAL JOB FUNCTIONS

  • Performs general mechanical tasks, including minor electrical, plumbing, heating, and appliance repairs as assigned and allowed by local code in apartment units and common areas
  • Executes preventive maintenance and routine engineering checks in all mechanical and boiler rooms; maintains logs, work orders, and other required documentation, including but not limited to Facilities Software
  • Performs unit inspections in tandem with Resident Service Teams to ensure building/unit integrity, safety, and compliance with inspection mandates
  • Carries out routine engineering checks in all mechanical and boiler rooms as scheduled or assigned and maintains logs, work orders, and other documentation related to the same
  • Documents time in/time out and description of work completed on work orders
  • Participates in the safe removal of snow and ice, including after hours, weekends, and holidays as needed
  • Performs grounds maintenance duties, such as sweeping, sanding, and salting
  • Assists with removing trash/recycling from trash rooms and compactor rooms and prepares same for weekly pickup by vendors.
  • Responsible for program and special event setup and breakdown as scheduled; may include setup of A/V equipment

 

  • Organize and maintain the department’s online and physical files; as required by regulatory agency reports, inspections, pest control, vendor and contractors
  • Monitor work orders/requests for timely completion and system documentation. Close out as needed. Keep MMIII informed of status and any related issues.
  • Set up and maintain inventory control system for maintenance dept. tools, equipment, and supplies to ensure efficiency, order, loss prevention, and redundancy.
  • Upload 2Life credit card receipts for maintenance dept. purchases to Share Drive, and to Travel Bank, with appropriate accounting codes.
  • Monitor contracts monthly/quarterly invoices and payments. Alert Maintenance Supervisor of any issues.
  • Draft notices to residents regarding upcoming maintenance work; translate and distribute. Coordinates with other team members, other departments, and outside vendors to ensure clear and timely communication.

 

  • Responsible for reporting all unsafe practices observed to management to help ensure 2Life work practice is safe and compliant with company standards
  • Participates in organizational training/workshops as well as attending external training opportunities to keep skills updated and current or to learn new maintenance skills 

 

OTHER DUTIES AND RESPONSIBILITIES

  • Cleans and performs other related custodial duties, as requested
  • Patrols parking lot and tags unauthorized vehicles unless towing is in force
  • Provides contractors and vendors with service access to mechanical areas and apartments, as directed
  • May rotate as building mechanic to other 2Life buildings, as assigned
  • Perform additional duties as assigned

 

 

PREPARATION, KNOWLEDGE, SKILLS & ABILITIES

  • Minimum of two years of hands-on experience preferred
  • Post-secondary technical training preferred
  • Knowledge of building trades, mechanics, and building maintenance
  • Knowledge of plumbing, heating, HVAC, and electrical systems
  • Proficient in problem-solving skills, interpersonal, and communication skills
  • Fundamental skills in math 
  • Hoisting License preferred
  • Must demonstrate exemplary customer service skills
  • Ability to make repairs not requiring a license
  • Ability to work as part of a team required
  • Fluent in English
  • Skilled in the use of mobile devices, computers, and computerized systems, including email, work orders, and record-keeping systems
  • High comfort level with older adults ranging in age from approximately 62 to 102 years of age
  • Experience with high-efficiency boilers and heating plants
  • Proficient interior painter
  • A valid Massachusetts driver's license required
  • Must be able to operate hand and power tools safely

 

WORKING CONDITIONS/PHYSICAL DEMANDS

  • While performing the duties of this job, the employee is regularly required to stand, walk, stoop, kneel, and climb. Must have full use of arms, hands, and finger dexterity to reach, lift, pull, push and feel.

  • Ability to frequently lift and move objects weighing up to 50 pounds
  • Ability to operate a Bobcat or similar vehicle
  • Ability to work outdoors in winter conditions
